Dashboards and reporting

The numbers you run the business by, on one screen.

If a straight answer about revenue, jobs, or staff means exporting from three places and stitching the pieces together in a spreadsheet, the slow part is the gathering, and gathering is exactly what software is good at. We build the reports and dashboards that do it on their own, so the numbers are current when you look at them and trustworthy when you act on them.

Sound familiar?

The report takes longer than the decision.

What we build

Reporting that assembles itself.

We start from the decisions you make and work back to the data, rather than charting whatever happens to be lying around.

Owner dashboards

Revenue, work in progress, and the handful of numbers you check every morning, current on one screen.

Job profitability

Actual labor and materials measured against what the work was sold for, while there is still time to do something about it.

Scheduled report emails

The week’s key numbers waiting in your inbox on Monday morning, gathered overnight by software instead of by a person.

Staff and location reporting

Productivity and retention by person or location, laid out for whatever review rhythm your leadership already keeps.

Payouts and commissions

Pay splits, admin hours, and time off calculated from the source data the same way every month.

One source of truth

A master record for the figures everyone depends on, which ends the argument about which spreadsheet is current.

Fantastic freelancer with an expert understanding of Google Sheets, pivot tables, and other data visualization tools. Highly recommended!

How it works

Built once, then trusted every month.

A report is only worth building if people believe the number on it, so accuracy is designed in from the first phase.

Step one

Name the questions

What you need to know, how often, and what you would do differently with the answer.

Step two

Find the data

Where each number lives today, how clean it is, and what has to be reconciled before it can be trusted.

Step three

A fixed price per phase

The report you would pay for first gets built first, with a price agreed before the work starts.

After launch

Maintained, or run for you

Hourly upkeep as your data changes. For a report that has to be right every single month, we can run it for you.

A real one

Eight hours of payroll math, down to a minute.

Mental-health practice, eight locations

The monthly job that could not be wrong

Every month, a staffer worked out each clinician’s pay by hand from a revenue export: pay splits, admin hours, and time off. It took about eight hours, and one changed column in the export could put a paycheck off without anyone noticing. We built the engine that produces every payout in about a minute, then grew it into a quarterly productivity dashboard, retention reporting, and a master database of pay rates. At the practice’s request, we have run it for them every month for about three years.

Straight answers

Questions we get asked first.

Do we need new software or a data warehouse?

Usually not. Most reporting builds read from the tools and spreadsheets you already have. If your data genuinely needs a new home, we will explain why before recommending it.

Where does the dashboard actually live?

Wherever your team will look at it. Sometimes that is a Google Sheet everyone already opens, sometimes an email that shows up on a schedule, and sometimes a screen inside a custom business system.

How do we know the numbers are right?

We build checks in. When an export changes shape or a row does not add up, the report flags it rather than producing a confident wrong number. Before handoff, we reconcile against figures you already trust.

Can you run the report for us every month?

Yes. For the jobs that cannot afford a bad month, we take the data, run it, check the results, and hand it back ready to use, as a standing service.

What about sensitive data like payroll or patient records?

That gets designed for from the start. The practice above handles protected health and payroll data, and its reporting was built with that requirement in place from day one.
